Job Descriptions

VIDEOGRAPHERS

Primary Objective: 
Video tape the event or individuals.

Maintain equipment

  • exercise great care in working with equipment
  • protect equipment from the elements as much as possible
  • keep equipment together throughout the shoot
  • store equipment when not in use

Be responsible

  • be on time to a shoot, dressed for the weather, informed as to the logistics of a particular shoot
  • know how the equipment works; ask questions, read information, practice
  • honor the video taping skills that are required for a particular shoot; seek knowledge
  • work on improving skills with training, education, and practice

Be observant and faithful to the task

  • stay focused
  • be aware of exactly what needs to be video taped at a particular camera station
  • maintain accurate records of what needs to be video taped, especially in such cases where orders are continually being taken during the event
  • treat each customer as an individual of importance and do the best job possible each and every time
  • observe the battery power indicator on the camera and change before things become critical
  • be observant as to how much tape is left to record on and replace it at a time when nothing is being video taped
  • label DV tapes as they are recorded with a comprehendible identification
  • stay in radio contact as needed to improve quality of the shoot
  • contact Project Organizer immediately when problems arise

Represent the business

  • stay friendly to all around
  • accommodate individuals as much as possible
  • work with judges, directors, musicians, etc. to accommodate their needs as well as the needs of the shoot
  • wear product line for easy identification
  • always act the professional
  • promote our company as united, not looking for individual recognition or future personal business

Assist where needed

  • assist in setting up and breaking down booth and/or camera stations as requested

EDITORS

Primary Objective:  Oversee the project from the receipt of video footage from the shoot to the mailing of the finished product to the customer.

Edit project

  • download tape(s) into computer for entire shoot with informative headings
  • view and identify clips as needed
  • put together timeline(s)
  • edit timeline(s)
  • have another editor critique work before proceeding
  • enter music into file on computer

Produce project

  • render project, verify quality
  • burn number of copies needed; test each copy for playback
  • design and print DVD covers

Mail project

  • address envelopes
  • stuff envelopes
  • stamp and mail project(s)
  • record mailing date on order list and order envelopes

File away project

  • file master copy in DVD file box, update record on card

Maintain computer station in good working order

  • keep computer station in a “usable” state so other editors can work at it
  • clean station regularly
  • report any problems, repair needs, or requested upgrades to Videography Director

Produce promotional materials as requested

  • make extra copies of DVDs that would work well as “booth material” or to send as sample work to prospective clients and videographers
  • burn clips to DVD which could be used as sample work on web site
  • submit promotional/advertising ideas to Business Manager
  • assist Business Manager in upgrading promotional material as requested

PROJECT ORGANZIER

Primary Objective:  Oversee a project from the point of booking the shoot until videotapes are secured after the shoot and paperwork is organized for editing.

Contact host or director of event to be video taped

  • make initial contact to make introductions, identify preferred method of contact, and discuss logistics of shoot
  • send out MovingImagesNW literature and business contract as needed
  • establish continuing contact schedule
  • act as liaison for all aspects of the shoot during the shoot itself
  • extend “Thank You"s at the conclusion of the shoot

Tour shoot site ahead of scheduled shoot as necessary

  • introduce physical needs to host or director
  • investigate options for booth, electricity, camera stations, audio, etc.
  • secure paperwork of activity to be video taped
  • confirm times and locations of activity to be video taped
  • take digital pictures of site to prepare employees ahead of time

Plan time schedule for the shoot

  • set up specific timeline for the shoot itself
  • when booth is set up and taken down
  • when booth is staffed
  • when cameras are set up or moved
  • when camera stations are manned
  • communicate arrival and departure times for each employee, including for set up and break down
  • plan scheduled breaks for videographers as needed

Secure equipment for the shoot

  • initiate a packing list to be used to gather needed equipment
  • arrange with Office Manager for booth equipment, suitcase, station backpacks, literature, office supplies, finances, other paperwork, etc.
  • arrange with Master Videographer for video equipment needed and support items (radios, cords, mics, etc.
  • formulate plan for transportation of equipment to and from shoot
  • arrange for number of vehicles needed at shoot
  • prepare for storage of equipment during shoot

Oversee the shoot

  • communicate plan of action for the shoot
  • secure orders and payment during the shoot as required for certain types of shoots
  • secure video releases as needed
  • execute timeline as scheduled
  • meet physical needs of employees (weather, food, breaks, etc.)
  • keep camera stations and booth stocked with needed supplies
  • label each tape that is recorded immediately with a comprehendible identification
  • trouble shooting as the need arises

Conclude the shoot

  • clean up equipment (under Master Videographer’s direction)
  • inform Business Manager of statements to be sent out and employees to be reimbursed
  • organize video tapes and order envelopes for use by Project Editor in white boxes
  • enter addresses and print labels for use by Project Editor
  • enter in payment(s) into books and file for deposit

Type up order list

  • identify titles that will be used in the finished DVD (verify spellings as needed)
  • enter information from order into MovingImagesNW directory
  • type up and print labels for mailing finished projects

Create project files

  • establish storage for paper information from shoot
  • create notebook to work project from
  • fill out card for DVD file box

BOOTH PERSONNEL

Primary Objective:   Oversee the advertising, promotion, order taking, and future contracting for the business at the display booth.

Promote business

  • maintain attractive display
  • keep DVDs playing at appropriate times
  • answer questions
  • hand out promotional materials; post in other locations around event as possible
  • protect display from the elements as needed
  • keep display secure (especially monetary orders)

Sign up individual orders as needed for certain events

  • promote DVD option to individuals at booth
  • take orders, complete order envelope
  • secure payment, record payment received on order envelope
  • keep comprehensive record of individuals to be video taped
  • formulate a list of rider numbers and names by the hour
  • communicate to videographers by radio all additions and subtractions as they arise
